Welcome to the Technology Design Team Weekly Lessons Learned! This will be a recurring feature on Friday afternoons where the Technology Design Team will share top of mind resources and learning. Each week, we will post a few key things we hope you may find useful. We look forward to sharing our learning with you.
Some of the content may be specific to the realities of Austin ISD though, we hope, much will be useful to viewers worldwide.

How do I add a long-term or short-term substitute to my BLEND course?

  • Substitute employees do have BLEND access, and they can be added to any BLEND courses with the Short Term Sub role or Long Term Sub Role. Principals and campus staff (such as the Campus Innovation Connector, CIC) with the People Manager admin role in BLEND can add/remove users from BLEND courses.
  • Short-Term Sub Access
    • If your campus does not have a process in place for requesting admin to add/remove short-term substitutes, consider a Google Form of some sort that asks…
      • Is this a long term or short term sub?
      • To which class should I add the sub? Please provide the BLEND course ID, or URL. If you don’t have these, please provide the course name.
      • Who is the teacher of record for this course in TEAMS/Frontline?
      • What date does the sub need access?
      • Is there a known last day that this sub should have access? In other words – should the sub be removed from the course at any point? If so, when?
  • Long-Term Sub Access: This guide explains how long-term subs will procure access to a BLEND course.

What resources are available to help me get acclimated to the New Rich Content Editor (RCE) in BLEND?
This “Learn the New Rich Content Editor” Google Slide Deck contains bite-sized screencasts for formatting text, adding images, linking, embedding, using external tools, and uploading files in BLEND using the New RCE.

How do I help students authenticate through Zoom to make my meetings safer?

  • Teachers and staff members can now host meetings that require participants to sign in through the AISD Portal with their username and password. The security feature helps ensure there are no “unwanted” guests in our Zoom classrooms and meetings.
  • During winter break, the technology team updated Zoom’s default settings to require single sign-on for users automatically. As a result, students will arrive in their Zoom classes with their names listed (based on AISD records for their first and last names).

  • Meetings with Guests Outside AISD Portal: For Zoom meetings with family and community members and partners, hosts must uncheck the box to “require authentication” in their meeting options. Refer to bit.ly/aisdzoomsafer for more details.

Will Technology Design Team Virtual Office Hours still happen?
Virtual Office Hours with the Technology Design Team for next week will happen on Tuesday-Thursday from 9:00-11:00 AM and 3:00-5:00 PM and on Friday from 3:00-5:00 PM. Please check the Global Announcement in BLEND for the Zoom link.

What does the new background look like for the district-issued iPads? 

  • Starting in January 2021 the applications on your PK-2nd grade district iPad will be placed into folders to support easy navigation during school days from 7:00 am – 4:00 pm.
  • Caregivers may install or delete (if space is running low) other applications using their personal AppleID for use outside of school hours. Applications installed by families will appear in an “other” folder during school hours.
  • Students will be able to tell if their iPad has been updated if they see a wooden background image rather than white lined paper.

Families on district-issued iPads are experiencing Zoom login issues. What can I do to help?

  • When a PK-2 teacher enables authentication in the settings for a class  Zoom meeting, their students will get a Safari pop-up window prompting them to log into Portal. 
  • Caregivers will need to know how to support students/caregivers in how to navigate the pop-up window and how to access QR codes which you can find instructions below. Make sure your kids have QRs before you secure your meeting with authentication.

  • There is not a mandate that EC teachers (or really any teacher) MUST use authentication in their Zooms, although it is the new default and is definitely recommended and may be required by your campus leadership.
